Lightning-Fast Updates: Data synchronization between V6 and V7 happens in near real-time, typically taking just milliseconds. This means when you update a customer record in V6, that change appears almost instantly in V7, and vice versa.

Simultaneous Editing Protection: Because synchronization is so fast, the system includes safeguards against simultaneous editing conflicts. If you and a team member try to edit the same record at the exact same time in different versions, you may receive an error message about simultaneous editing. Simply wait a moment, reload your record, and try again.

Best Practices for Dual-Version Usage

Transition by Feature Area: Rather than switching back and forth between versions randomly, focus on transitioning one area of your business at a time. For example:

  • Complete your contacts transition to V7 before moving customer management activities

  • Finish setting up your inventory processes in V7 before transitioning your POS operations

  • Migrate your reporting workflows as a complete unit

Minimize Simultaneous Use: While both versions work together seamlessly, the synchronization process is resource-intensive. To optimize performance for your business and others in the BusinessMind community, try to minimize the time you spend using both versions simultaneously within the same functional area.

What Synchronizes Automatically

Most of your business data synchronizes automatically between versions, including:

  • Customer and vendor contact information

  • Inventory items and stock levels

  • Sales transactions and invoices

  • Replenishments and receiving

  • Custom fields and most record modifications

What Requires Manual Configuration in Both Versions

Several system-level configurations are unique to each version and require separate setup:

Application Configuration Settings

When a setting exists in both V6 and V7, you'll need to configure it separately in each version. This includes preferences, display options, and operational settings that control how the application behaves for your business.

Sets & Smart Sets

V7 features a completely redesigned Smart Sets system that's faster and more intuitive than V6. Because of this fundamental redesign, Smart Set configurations don't synchronize between versions. You'll need to recreate Smart Sets in V7 that you created in v6 during your transition, using the new, improved interface.

Display and Print Configurations

The following customization settings are version-specific:

  • Tag Layouts: Custom tag designs and layouts

  • Print Configurations: Receipt formats, report layouts, and other print settings

User Management

User accounts, preferences, and role assignments are completely separate between V6 and V7. This separation allows you to:

  • Set up V7 user accounts gradually

  • Customize V7 permissions based on your new workflows

  • Maintain V6 access for team members who haven't transitioned yet

Sequential Number Systems

Important: Invoice numbers, purchase order numbers, and other sequential numbering systems operate independently in each version.

Potential Issue: If you create an invoice in V6 and then create another in V7, you may encounter duplicate invoice numbers.

Recommendation: Once you begin creating transactions of a specific type in V7 (such as invoices), continue using V7 for all transactions of that type to avoid numbering conflicts.

Images and File Attachments

Standard Behavior: Images and file attachments added to records don't automatically synchronize between versions.

V6 to V7 Recovery: If you've added images or attachments to records in V6 during your transition, our support team can help synchronize these files to V7. Contact support if you need assistance with this process.

V7 to V6 Limitation: Files added in V7 cannot be synchronized back to V6. This is another good reason to focus your transition efforts on moving completely to V7 for each area of your business.
